Job Purpose:   

To assist with all aspects of events, marketing and charity for Ascot Group in London

Lines of Responsibility:

Reports to: Group Head of Marketing & Communications

Detailed Duties:

Events

  • Facilitate a range of client/brokers event in-line with an agreed schedule and budget
  • Work internally with staff to source ideas, and ensure events are appropriate and within budget
  • Get guest-lists, send out invites and monitor RSVPs
  • Research event requirements including venues, prices, options and other aspects of an event
  • Coordinate with third party suppliers to ensure events are of a high quality and run
  • Attend certain Ascot events which may require out-of-hours work

Internal communications

  • Ensure that new and current staff have corporate headshots, which are up-to-date and uploaded to their Outlook photos. Book regular photography sessions
  • Be aware of internal brand guidelines and work with IT to enforce them, including: photos, email signatures, use of logos
  • Ensure front-line staff have up-to-date biographies on the external website. Work with Underwriters to write appropriate biographies

Marketing

  • Order corporate gifts for use with brokers and clients. Manage the London marketing cupboard and ensure it is stocked with appropriate gifts. Make sure Underwriters are aware of gifts and use them accordingly. Liaise with suppliers
  • Be aware of all Group literature, information and resources. Be a point of contact for all staff to come to for literature
  • Be a point of contact for all Ascot Group staff when required on brand, stationary and marketing
  • Make basic changes to the website and liaise with the web developer for more complex requests

CSR

  • Manage the UK charity budget and assist the UK charity committee in an administrative role
  • Liaise with charities when we receive in-bound requests
  • Be the main point of contact internally for all aspects of Charitable giving
  • Help coordinate staff charity days and events

General administration & Misc.

  • Liaise with finance to ensure the timely payment of invoices
  • Handle ad-hoc work as required by the Marketing team
  • Assist in any administrative requirements as required by the Group Executiv

  • The role involves significant engagement with colleagues internally. A sunny disposition is essential.
